delegation is one of the skills your boss will be looking for when they're deciding whether to promote you they want to know whether you can delegate and whether you can delegate effectively unfortunately many managers and leaders haven't been taught how to delegate and this often results in delegation failure where the task is not completed well or the task is not completed at all if you want to prove to your boss that you are ready to be promoted into a management or leadership position then you need to know how to delegate effectively keep watching cuz that's what we'll talk about communication at work subscribe to this channel if you think this content can help you in your career the very first thing you need to do when you are learning how to delegate effectively is to choose the right person to delegate to in your team you could have a number of people that you could delegate to but not everybody will be suited to the task that you want to delegate out so you need to find a way to choose the right person and match them with the task that you want to delegate basically you need to assign the task to the right person for the job when choosing the right person for the job you need to think about past experience strengths and motivation if someone has past experience performing a task and they performed it well then they are a good person to delegate to if someone has strengths that will help them perform that task well then they're a safe choice to delegate to for example if somebody is good at public speaking then you could delegate to them the task of presenting your team's results to upper management and on top of past experience and strengths you need to think about motivation this is the desire that person has to grow and develop as a professional they may want to learn a specific skill so they can get promoted you can assign them a stretch Pro project and guide them through the process of learning this new skill so they can upskill themselves it's important you remember that you shouldn't delegate to people only who have past experience or the strengths for the task because many motivated people without past experience can perform exceedingly well in stretch projects and they can surprise you with the results the next thing you need to do when you are learning how to delegate is to communicate the why why does that person need to perform the task why is it helpful for them why is it helpful for you or your team you see when people lack understanding as to the why why the task matters why they should perform it and how they fit into it they're less likely to care when you have people who don't care about the task they won't put in the effort that's necessary and that's when you end up with a task that's completed in a half-hearted manner or not completed at all this will only result in delegation failure and it won't make you look good as a manager or leader because people will know that you can't delegate effectively in order to avoid this you need to communicate the why here is an example of how to do that it's important that upper management know what our team is achieving every month when they know what we're achieving they can see how we're contributing to the company's goals so they can keep our budget open for the next quarter so whenever you are thinking about a delegation opportunity try to think about the why behind that delegation request why is it important to you to that person to the company as well once you have chosen the right person and you have articulated why it's important you can go ahead and make your delegation request one of the mistakes I often see people make is they lack confidence in delegation and this leads them to delegate in a very vague way they're not specific enough about what the task is they're not specific enough about deadlines or timelines they're not specific enough about expectations or the outcome vague delegation is bound to end up in delegation failure when people aren't clear on what they need to do how they should do it and when they should do it by it is bound to disappoint you because they won't be meeting the expectations that you have of them if you've ever encountered delegation failure it is likely because you didn't delegate clearly enough in the first place so let's look at an example of how you can delegate clearly Thomas next Thursday we have our team's quarterly update with Senior Management this is where each team presents their achievements for the quarter so Senior Management understands how we're performing normally I perform this task but since you are so talented at public speaking I'd like to ask you to perform this task instead it would require you to speak for about 5 minutes summarizing our team's top three to five achievements for the quarter is this something you could prepare and present next Thursday notice how I stated the time frame next Thursday the details of the task which is to speak for about 5 minutes summarizing the team's top three to five achievements for the quarter and I made the delegation request is this something you could prepare for and present next Thursday you can of course go into more detail and elaborate and explain more things in the conversation but this should give you a good idea on how to be specific in your delegation request so the other person knows and understands what you are asking them to do part of making your delegation request is to articulate the desired outcome this is important because a person you are delegating to must clearly understand what you expect of them so they can work towards that goal what does the end result look like what what is the outcome you are hoping for when you can communicate this clearly your delegation attempt is less likely to end up in Failure the desired outcome we're using in the example for this video could be I would like you to present our team's top three achievements for the quarter emphasizing how this is the best quarter we've had in terms of exceeding our kpis ideally the senior managers will be impressed with our results and they'll keep our budget open for next quarter I'm convinced you're capable of this do you think it's something that you can do so here you have clearly communicated your desired outcome that you hope Senior Management will keep their budget for your team open for the next quarter and with this knowledge the person you delegate to will have this expectation in their mind they will know the outcome you were looking for so they will know what goal they need to work towards when you delegate you don't just dump tasks on people you are the manager or the leader it is your responsibility to guide to support and to monitor how people are performing the level at which you Monitor and support will really depend on how independent the person is that you're delegating to if they are entry level or inexperienced they will need more help or support if they are experience then you can give them more freedom to find their own way this is something you will need to gauge and decide on in each delegation opportunity or you could directly ask that person and ask them how much involvement they would like you to have have for example given that you're experienced in creating presentations how often would you like me to check in and see how you're going and also inquire as to the best way you should communicate with each other I'd like to talk face to face to go over the presentation a couple of days before the deadline does this suit you finding the right balance for you and the person you're delegating to as to the level of involvement and the method of monitoring will help to see that you have delegation success I have many more videos on my Channel
